Jesse Tobar head shot with text: Organizational Data: Use Approved AI Tools; Avoid Storing Organizational Info on Personal servers

In brief:

  • Keep Exchange data off personal devices, email and cloud accounts.
  • Use only Exchange-approved AI—Comet, Copilot and Perplexity.
  • Limit access to role-based needs.

Your mission this week: equip yourself with the knowledge to protect Exchange data. Keep work information in approved locations, use only approved AI tools and limit access to those who need it for their roles.

Check Your Equipment

AI tools can be used to streamline your role, automate tasks and find inspiration, but not all tools are approved for Exchange-related tasks. Check your equipment before putting it to work.

Approved AI tools:

  • Comet
  • Copilot
  • Perplexity

#DYK: The AI and Innovation Team offers AI Learning Demos for users to brush up on their skills and ask questions to make the most of Exchange-approved AI tools in associate’s day-to-day tasks.

Secure the Homefront

Your personal accounts are no place for Exchange data. Do not download, copy or save Exchange data, such as sales data or customer information, to personal devices. You may use your personal device to access approved corporate apps, such as Office 365, for associate email and other authorized work activities.

The Exchange puts safeguards in place to protect organizational data. Moving data outside of approved locations can leave it without those protections and put the organization at risk.

NTK: Need-to-Know Basis

Keep it on a need-to-know (NTK) basis. Not every associate needs access to every file. Regularly review permissions on shared documents to ensure that anyone who has access to Exchange information needs it for their role.

A Byte of Humor:

Why was the officer denied access to the file?
Because “Major Curiosity” wasn’t an authorized user...
